Office & Finance Manager

The mission of Proyecto Faro/The Lighthouse Project, an immigrant-led organizing effort, is to help build a community in which all people can live without fear or anxiety. Working to galvanize support and action among those in Rockland County who feel insecure due to their immigration status, we strive to create solidarity across boundaries of legal status, country of origin, and secular and religious affiliation. We are committed to acting as a lighthouse in the midst of the storm, walking hand in hand with all refugees and undocumented neighbors who are navigating hostile waters with the goal of helping all to find solid ground.

The Office and Finance Manager will oversee the expansion of Proyecto Faro’s office into an accessible center and implement logistical and financial systems necessary to fulfill the terms of our NY State Department of Labor EWF grant and to empower PF to grow in a way that maintains the deep involvement of the community while ensuring professionalism, regulator compliance, and operational efficiency. S/he will also implement intake systems that will sync with the efforts of the Community Representatives and may at times conduct direct referrals. S/he will report to the Executive Director (ED).

Responsibilities of the Office and Finance Managerwill include:

  • Coordinating the process of setting up our new office and involving volunteers in this operation;
  • Staffing the PF office and answering phones, taking messages, and responding to inquiries in a welcoming and professional manner;
  • Working with the relevant staff and board members to develop necessary operational systems including intake processes for excluded workers and their families who are seeking relief;
  • Overseeing the documentation of appropriate data and records and filing all reports in a professional and timely manner to assure compliance with all federal, state, and local governmental agencies as well as funding agencies that support the work of PF;
  • Managing payroll, volunteer and employee reimbursements, donations, and invoices related to organizational operations; and
  • Supporting the ED and other staff in receiving donations of material supplies (especially food) and coordinating volunteers to redistribute those items.

Qualifications and Skills Required:

  • Associates Degree (2 year) in a field related to business administration;
  • At least 2 years experience in nonprofit work in a position that involves administrative systems development and coordination;
  • Working knowledge of Microsoft and Google Office Suites, as well as general high proficiency with computers and capacity to learn new systems as needed;
  • Demonstrated knowledge of managing financial accounting and bookkeeping;
  • Ability to work independently and be a proactive and personable team player; 
  • Experience in managing volunteers is considered a plus;
  • Ideally fluent in both English and Spanish;
  • Ability to lift 50 lbs;
  • Strong work ethic; and
  • Sensitivity to challenges faced by marginalized and undocumented immigrants and a desire to help strengthen PF’s immigrant rights efforts.

Hours: We are interested in applicants who are available for full and part-time. The position is currently part-time but we may soon be able to switch position to full-time.)

Compensation: $23 per documented work hour (If we switch to full-time, annual salary would be $47,840.)

Because we occasionally have weekend or evening activities or meetings, you can take flex time.

Benefits: While Proyecto Faro is newly established as an independent organization, with funding and organizational structures still being established, we have an abiding commitment to workers. Though we currently do not have a health plan for employees, we are optimistic about providing this benefit to full-time employees (which we hope this position will become) in 2022.    

Supervision & Evaluation: This position reports directly to the Executive Director. In addition, the Personnel Team of the Board, in consultation with the ED, will initiate evaluations at 3 months and 6 months in which feedback can be exchanged in both directions.

Location and Requirements: This position will require the employee to work from the Proyecto Faro Office at 5 Cricketown Rd, Stony Point, NY 10980.
